Firm issues a code; the client installs the phone app, enters the code, and presses one button to start audio-only recording and transcription (no video mode). One copy is saved on the client’s device; a copy is sent to the Firm. The Firm receives a summary, AI review flags, and the raw transcript for audit. AI review flags mark heated exchanges and statements that may warrant review. They are review aids only: they are not lie detection, not findings, and not evidence conclusions. The Firm will instruct each client on lawful recording before issuing a code, including: Record audio only, and only conversations you personally take part in. Georgia generally allows a participant to record a conversation (O.C.G.A. § 16-11-66), but recording video in private places, recording conversations you are not part of, or leaving a device to record when you are absent can be a crime. If the other person is in another state, stricter all-party consent laws may apply. Executive is a draft add-on and is not offered yet. (a) Rental, not a sale: The machine is a rental, not a sale. J H buys it and keeps title at all times; the client may not sell, pledge, sublease or move it off the listed premises. The client is responsible for loss or damage beyond normal wear, up to the listed replacement cost, and must report damage, loss or theft within [48] hours. [Attorney: confirm a true lease, O.C.G.A. § 11-1-203.] (b) Scope: J H installs Verbatim Ledger on the rented machine at the client’s home, tests with test audio only, and shows the client how to use it. J H does no on-site work at the Firm; the Firm’s own IT handles its infrastructure. Recordings save locally on that machine. PLANNED / NOT BUILT YET: sending recordings to the Firm over an encrypted connection using the Firm’s code. (c) Client-side rent: Client-side rental: month 1 $2,000 total (covers buying the hardware, about $800, plus J H’s time and the initial home install); month 2 $1,500; month 3 $1,000; then tapering to a $600/month floor (the steps between month 3 and the floor are TBD). Security deposit [TBD]. Georgia sales tax may apply to rentals. Rent is due within 7 days of each invoice. (c-1) Firm-side: Firm-side Executive: custom quote. Each firm sets its own budget. Firms may rent hardware from J H at separate pricing, because server-grade equipment and network infrastructure cost more. The firm’s own IT handles its infrastructure; J H’s on-site work is client-home setup only. Every quote is a draft that J H approves before it is sent. Firm hardware rental, if any, is on the same rental terms (title, damage, deposit, export before wipe, non-payment) at the quoted price. (d) Deposit: [TBD], returned less itemized deductions within [30] days after return and inspection. (e) Late fees and non-payment: Late payments: after [10] days a late fee of the greater of $[25] or [5]% of the overdue amount, capped at the Georgia legal limit. Non-payment: written notice and a [10]-day cure period, then the rental may end; if the machine is not returned voluntarily, J H will use the courts. No self-help that breaches the peace (no entry without consent, no force or threats), and no remote shutdown. (f) Return, export and wipe: At the end of the rental, before any wipe, every recording, its original, hashes and transcripts are exported, every hash is verified, the export is delivered to the client and the issuing firm (or as the firm directs in writing), and receipt is confirmed in writing. No wipe happens while a litigation hold, preservation letter, subpoena or court order is known to apply. (g) Confidentiality and access: During setup J H uses only test audio, does not open, copy or listen to any client recording or file, and takes no client data off-site. Later access by J H is only for maintenance, export and wipe, with the client’s permission. The client or a person they choose should be present during home visits.
